Introduction

SAP MM account determination controls how goods movements in Materials Management (MM) automatically generate postings in Financial Accounting (FI). It ensures that inventory receipts, goods issues, and material consumption are recorded in the appropriate general ledger (G/L) accounts.

Transaction OBYC is used to configure automatic account determination in SAP ECC and SAP S/4HANA on-premise and Private Edition. The system determines the appropriate G/L accounts using transaction keys, valuation classes, account modifiers, and other configuration settings.

For a valuated goods receipt of stock material against a purchase order without account assignment (movement type 101), SAP typically debits inventory and credits the Goods Receipt/Invoice Receipt (GR/IR) clearing account. Price differences can create additional lines. When materials are issued to a production order using movement type 261, SAP credits inventory and debits material consumption.

This article explains how SAP MM-FI account determination works, including OBYC configuration, transaction keys BSX, WRX, and GBB, valuation classes, and the accounting entries generated by common movement types.

Account Determination Configuration

Transaction OBYC defines automatic account determination for the integration of Materials Management (MM) with Financial Accounting (FI) in SAP ECC and SAP S/4HANA on-premise and Private Edition.

Transaction keys identify the type of accounting transaction and determine which G/L accounts are used for goods movements. Common examples include BSX for inventory postings, WRX for GR/IR clearing, and GBB for offsetting entries to inventory postings.

Account modifiers, also called account grouping codes, further differentiate account determination within certain transaction keys. For example, account modifier VBR is commonly used with transaction key GBB to determine material consumption accounts.

Valuation classes group materials for automatic account determination. Together with the transaction key, valuation grouping code, and applicable account modifier, the valuation class helps determine which G/L account is selected.

How SAP Selects the G/L Account

  1. Identify the business transaction. The movement type and posting context control the posting logic and relevant transaction keys.
  2. Identify the organizational settings. The company code supplies the operating chart of accounts. The valuation area and its valuation grouping code determine the applicable grouping for account determination.
  3. Read the material and account grouping. SAP uses the material’s valuation class and, where relevant, the account modifier, such as VBR for internal consumption.
  4. Select the configured account. The rules for the transaction key determine which dimensions are used to find the G/L assignment in OBYC/T030. Not every key uses every dimension.

Configuration check: Confirm the chart of accounts, valuation grouping, material valuation class, transaction-key rules, and required debit/credit account assignments. Test representative receipts, issues, and reversals before transporting a change.

For more information about how SAP values inventory, see our guide to choosing standard or moving average price in SAP.

Automatic account determination is configured through transaction OBYC, with the corresponding G/L account assignments stored in table T030. Together with the relevant material master and configuration settings, these assignments enable SAP to generate accounting entries automatically when goods movements are posted.

To display the G/L account assignments maintained through OBYC, see our guide to SAP Automatic Account Determination using T030 and SE16N.

SAP OBYC inventory account assignments for transaction key BSX and valuation classes

Figure 1: SAP OBYC Configuration for Inventory Account Determination (BSX)

For a valuated goods receipt of stock material against a purchase order without account assignment (movement type 101), SAP generates the corresponding accounting entries. Transaction key BSX determines the inventory G/L account based on the material's valuation class and applicable account determination settings. Transaction key WRX determines the GR/IR clearing account.

For example, when a raw material assigned to valuation class 3000 is received, SAP typically debits the corresponding inventory account and credits the GR/IR clearing account. These G/L account assignments are configured through transaction OBYC, as illustrated in Figure 1.

OBYC Transaction Keys at a Glance

A transaction key identifies a type of posting. An account modifier refines certain keys: GBB is the key, while VBR is the modifier. The shorthand GBB/VBR is not a separate transaction code.

Key / ModifierPurposeTypical Use
BSX Inventory posting Inventory account for the material.
WRX GR/IR clearing Clearing between the goods receipt and supplier invoice.
GBB/VBR Internal consumption Consumption posting for an issue to an order or cost center.
GBB/AUF Order goods receipt Offsetting entry for a receipt from a manufacturing order.
GBB/INV Inventory differences Offsetting entry for physical inventory gains or losses.
GBB/VAX or GBB/VAY Sales goods issue Modifier depends on whether an account assignment object is involved.
PRD Price differences Difference posting when the valuation and transaction values differ.
BSV / FRL / GBB/VBO Subcontracting Stock change, external service charge, and consumption of supplied components.

Modifiers and accounts depend on the process and configuration. For example, VAX and VAY distinguish sales goods issues with different account-assignment treatment; they should not be treated as interchangeable defaults.

Material Consumption to a Production Order in SAP

SAP OBYC consumption account assignments for transaction key GBB and account modifier VBR

Figure 2: SAP OBYC Configuration for GBB/VBR – Material Consumption to a Production Order

When raw materials are issued to a production order using movement type 261, SAP automatically generates the corresponding accounting entries. Transaction key BSX determines the inventory account, while transaction key GBB with account modifier VBR determines the material consumption account.

The system credits the raw material inventory account and debits the material consumption account, with the production order receiving the corresponding cost assignment. The relevant G/L accounts are determined using the valuation class and automatic account determination settings maintained in transaction OBYC, as illustrated in Figure 2.

Movement Types and Accounting Entries

SAP movement types control how goods movements affect inventory quantities, values, and accounting entries. Each movement type represents a specific business transaction, such as a goods receipt, goods issue, stock transfer, or inventory adjustment.

Automatic account determination is configured through transaction OBYC in SAP ECC and SAP S/4HANA on-premise and Private Edition. Once configured, SAP automatically determines the appropriate G/L accounts based on the movement type, transaction key, valuation class, and applicable account modifier.

OBYC determines the G/L account; the receiving order, cost center, or other CO assignment is a separate part of the posting. For more information about assigning purchase price differences to a Purchasing cost center using OKB9, see our guide to posting purchase price variances to Purchasing.

Account determination settings should be thoroughly tested during implementation and whenever configuration changes are made. Incorrect settings can result in inaccurate inventory valuation, material consumption postings, and financial reporting.

Figure 3 summarizes common SAP movement types and their corresponding accounting entries. Scroll horizontally to view all transaction keys and G/L account assignments.

The accounting entries in Figure 3 illustrate typical SAP MM-FI postings for selected goods movements. Actual G/L account assignments depend on the chart of accounts, valuation class, transaction keys, account modifiers, and system configuration. Some transactions, particularly subcontracting and production-related goods movements, may generate additional accounting entries.

Figure 3: SAP Movement Types and Corresponding Accounting Entries

Note: The G/L account numbers shown in Figure 3 are illustrative and depend on the chart of accounts and SAP configuration. The subcontracting examples assume a stock-relevant subcontracting purchase order without account assignment. Actual postings may differ depending on valuation methods, account assignments, and configuration settings.

Reading the examples: Movement type 701 represents an inventory gain in unrestricted-use stock; a loss reverses the direction of the inventory-difference posting. The 601 sales example uses GBB/VAX; GBB/VAY can apply when an account assignment object is involved. The subcontracting rows show related posting components, rather than three independent processes.

Example: Purchase Receipt with a Price Difference

Assume a stock material has price control S and a standard price of $10 per unit. A purchase order without account assignment is received for 100 units at $11 each. Ignoring tax, freight, and other conditions, the receipt illustrates three lines:

  • Debit inventory (BSX): $1,000 — 100 units at the standard price.
  • Debit price differences (PRD): $100 — the difference between the purchase order value and inventory valuation.
  • Credit GR/IR (WRX): $1,100 — the purchase order value received.

This explains why a 101 goods receipt can produce more than two accounting lines. With moving average price control, differences can affect inventory instead; the treatment also depends on the transaction and available stock.

For receipt and invoice reconciliation, see SAP GR/IR clearing. For component consumption and supplier charges, see SAP subcontracting in S/4HANA.

MM-FI Account Determination in SAP S/4HANA

BSX, WRX, GBB, and PRD determine the G/L accounts used for inventory postings, GR/IR clearing, material consumption, and price differences.

In SAP S/4HANA on-premise and Private Edition environments, transaction OBYC remains available for configuring automatic account determination. In SAP S/4HANA Cloud Public Edition, account determination is maintained through the relevant configuration activities.

When a goods movement generates an accounting document, its financial postings are recorded in the Universal Journal (ACDOCA) in SAP S/4HANA. This integrated data model combines financial and management accounting information to support consistent reporting and analysis.

For a deeper understanding of inventory valuation and periodic price determination in SAP S/4HANA, see our guide to Actual Costing in SAP Material Ledger.

Correct MM-FI account determination is essential for accurate inventory valuation, material consumption, product costing, and financial reporting.

Troubleshooting Account Determination

If SAP reports that account determination is not possible, or a goods movement selects an unexpected account, trace the actual posting combination:

  1. Capture the transaction details. Record the movement type, plant, material, special stock, and purchase-order or order account assignment. Read the full error message.
  2. Check material valuation. Review the valuation class and price control for the relevant valuation area. For split valuation, check the specific valuation type.
  3. Check the account-determination combination. Compare the chart of accounts, valuation grouping code, transaction key, and applicable modifier with the configured OBYC/T030 entry.
  4. Check the G/L account. Confirm that it exists for the company code and that its posting and account-assignment settings support the transaction.
  5. Retest the whole process. Compare the material and accounting documents for the receipt, issue, invoice, and relevant reversal. Use representative materials and plants.

Determine whether the cause is master data, account-determination rules, or a missing account assignment before changing configuration. A correct account number alone does not guarantee a correct cost assignment.

Glossary

Account Modifier

An account modifier, also called an account grouping code, differentiates G/L account determination within certain transaction keys. For example, account modifier VBR is used with transaction key GBB to determine material consumption accounts for goods issues.

Automatic Account Determination

Automatic account determination is the SAP process of selecting the appropriate general ledger (G/L) accounts for business transactions based on predefined configuration. In Materials Management, SAP uses transaction keys, valuation classes, and other settings maintained through OBYC to generate accounting entries automatically.

Chart of Accounts

A chart of accounts is a structured list of general ledger (G/L) accounts used by one or more company codes. In SAP MM-FI account determination, the chart of accounts is a key factor in selecting the appropriate G/L accounts for inventory postings, consumption, and other goods movements.

Company Code

A company code is the smallest organizational unit in SAP Financial Accounting for which a complete set of financial statements can be prepared. Each company code is assigned an operating chart of accounts used for financial postings, including those generated through MM-FI integration.

Cost Center

A cost center is an organizational unit in SAP Controlling used to collect and monitor costs. When materials are issued to a cost center using movement type 201, SAP posts the material consumption expense to the appropriate G/L account and assigns the cost to the receiving cost center.

Goods Issue

A goods issue is a movement of materials out of inventory for consumption, production, or delivery. In SAP, a goods issue typically reduces inventory quantities and may generate accounting entries that credit inventory and debit a consumption or expense account. Movement type 261 is commonly used for goods issues to production orders.

Goods Receipt

A goods receipt records the receipt of materials into inventory or another designated destination. For a valuated goods receipt against a purchase order using movement type 101, SAP typically debits inventory through transaction key BSX and credits the GR/IR clearing account through transaction key WRX.

GR/IR

Goods Receipt/Invoice Receipt (GR/IR) is a clearing account used to reconcile goods receipts and supplier invoices for purchase orders. When a valuated goods receipt is posted, SAP typically credits the GR/IR clearing account. When the corresponding supplier invoice is posted, SAP debits the account. Transaction key WRX determines the GR/IR clearing account through automatic account determination in OBYC.

Material Master

A material master contains the information required to manage a material in SAP, including purchasing, inventory management, accounting, and costing data. The Accounting 1 view contains the valuation class used in automatic G/L account determination. SAP uses this information together with transaction keys and OBYC configuration to determine the appropriate accounts during goods movements.

Movement Type

A movement type is a three-digit key that identifies a goods movement in SAP, such as a goods receipt, goods issue, or stock transfer. Movement types influence inventory updates, account determination, and the accounting entries generated during goods movements. Examples include movement type 101 for goods receipts and 261 for goods issues to production orders.

OBYC

OBYC is the SAP transaction used to configure automatic account determination for Materials Management in SAP ECC and SAP S/4HANA on-premise and Private Edition environments. It assigns G/L accounts to transaction keys such as BSX, WRX, GBB, and PRD based on the applicable account determination settings.

Price Difference Account

A price difference account records differences between material valuation prices and actual transaction values when SAP determines that the difference should be posted separately. Transaction key PRD is used to determine the appropriate G/L account for these price difference postings in OBYC.

Purchase Price Variance

Purchase price variance is the difference between the purchase price of a material and its standard price. In SAP, price differences may arise during goods receipts or invoice receipts and can be posted to a price difference account determined by transaction key PRD in OBYC. The accounting treatment depends on the material's price control and the transaction.

Standard Price

Standard price is a fixed valuation price used for materials with price control S in SAP. It is maintained in the Accounting 1 view of the material master and determines the value of inventory postings. Differences between the standard price and actual purchase or production costs may be posted to price difference accounts through transaction key PRD, depending on the transaction and configuration.

Transaction Key

A transaction key identifies the type of accounting posting generated by a Materials Management transaction. Common transaction keys include BSX for inventory postings, WRX for GR/IR clearing, GBB for offsetting entries to inventory postings, and PRD for price differences. These keys are used in OBYC to determine the appropriate G/L accounts.

Universal Journal

The Universal Journal is the integrated financial and management accounting data model in SAP S/4HANA, with table ACDOCA storing journal entry line items. It combines financial and controlling information, including accounting entries generated by inventory movements, to support consistent financial reporting and real-time analysis.

Valuation Area

A valuation area is the organizational level at which SAP values material inventory. It provides the context for material valuation data and account determination. Check the valuation level configured for your system.

Valuation Class

A valuation class groups materials for automatic G/L account determination in SAP. It is maintained in the Accounting 1 view of the material master and helps determine which inventory and consumption accounts are used during goods movements. The valuation class works together with transaction keys and other account determination settings maintained in transaction OBYC.

Valuation Grouping Code

A valuation grouping code groups valuation areas, such as plants, that share the same automatic G/L account assignments. In SAP, valuation grouping codes are assigned through configuration, including transaction OMWD, and are used in OBYC to simplify account determination across multiple valuation areas.

Valuation Type

A valuation type identifies a specific valuation within a material's valuation category when split valuation is used in SAP. Split valuation allows the same material to be valued differently based on characteristics such as procurement origin or batch. Valuation types can influence automatic G/L account determination through their assigned valuation classes and related OBYC configuration.
